Port Stephens works in seasons.
This costs the same all year.
Accommodation and charter operators at Nelson Bay, marine trades around the estuary, rooms at Salamander Bay and offices in Raymond Terrace — bought once, with no per-user Harness fee. Base local processing stays on the appliance; connected exceptions are recorded separately.
On site Raymond Terrace to Fingal Bay · no per-user Harness fee · core local work can run offline
For ten weeks a year, everyone here does three jobs.
School holidays, whale season, a long weekend with good weather — and the admin waits.
An operator running boats out of the bay, or twelve holiday properties, or a caravan park at Anna Bay, does not have an admin problem in August. They have one in January, when the enquiries triple and the person who normally answers them is out the front doing something more urgent. Then the season ends and someone spends a fortnight catching up on the paperwork that piled up while the tills were busy.
Software sold by the seat is exactly the wrong shape for that. You are billed for the summer headcount all winter, or you spend December adding and removing people from a licence.
A cost that doesn't move with your roster
You buy the machine and that is the transaction. The tenth casual costs what the first one did.
- The Compact
- from $4,900 a small operation
- The Office
- from $7,900 a small team
- Seasonal staff
- $0 each every one of them
What comes off the desk in peak
Not the guest-facing part. The writing behind it.
Port Stephens is not only tourism.
Three other trades here have paperwork worth handing over, for three different reasons.
The water
Oyster leases, commercial fishing, slipways, boat yards and marine mechanics.
Job cards dictated with hands still dirty, quotes written from a walk-around, and years of service history on a vessel finally searchable by what was actually done to it rather than by the file name someone typed in 2016.
Williamtown
The RAAF base, Newcastle Airport and the aerospace and defence tenants at Astra Aerolab next door.
Supply into that work for long enough and somebody sends you a questionnaire about sovereign AI and where your documents are processed. A local workflow provides a short answer for its core processing, while every connected exception still belongs in the response. What that machine actually is →
Care
Tomaree Community Hospital, GP and allied health rooms at Salamander Bay and Medowie, in-home care across the peninsula.
In-home care teams can use an approved local recording workflow to prepare draft notes for review. Consent, safe capture, retention and any connected transfer still need to be set by the provider.
Nelson Bay and the peninsula, Medowie and Raymond Terrace.
Peninsula and mainland both — the machine goes wherever the office is.
Install timing is confirmed in the quote. The appliance joins the agreed network, staff use it through a browser, and handover covers the acceptance examples. Your IT provider keeps ownership of the wider network and staff devices. Machine choice depends on models, document size and simultaneous use, not desk count alone.
A second site somewhere else is no complication: Newcastle and the Central Coast have write-ups of their own, New South Wales is written up as a state, and the full service area is on the hub.
Port Stephens questions.
We take on eight casuals over summer. What do they cost to add?
There is no per-user Harness fee under current installed-system pricing. New staff still need an approved account and appropriate access, and peak simultaneous use must fit the machine named in the quote.
The office is a demountable at the yard on a mobile connection. Will it run?
Yes. Transcribing and searching happen on the box itself, so it only needs power and your local network, not a good line out. Plenty of what we install ends up somewhere with a tin roof.
Can it answer the accommodation enquiries that come in overnight?
If the quoted workflow includes the relevant system connection, it prepares a draft for a person to review and send. The connection and review step are acceptance-tested before handover. Here is what the Harness does.
When is the sensible time to have it installed?
Choose a period when the staff who will use it can attend the agreed handover. The quote records timing, site access, network prerequisites and who needs to be available; we then schedule around your operating hours where practical.
Twenty minutes, on your premises.
We bring a machine that works, point it at your own enquiries and job sheets, and tell you what it would cost you.
Bring us one job your team repeats every week. We will show you the system doing it →
